Photo & Media Consent Policy
How your progress photos and food photos are stored, used, and protected
Last updated: September 2026
1. Media We Collect
The She Haven Fitness portal allows you to upload the following types of media:
- Progress Photos: Body progress photos (front, side, back, or custom views) used to track your physical transformation over time
- Food Photos: Photos of meals for your food journal and nutrition tracking
- Food Log Photos: Optional photos attached to specific food entries
2. How We Store Your Media
Progress Photos: Stored in private file storage. These photos are never publicly accessible. Access is granted only through time-limited signed URLs that expire automatically. Only you, your assigned trainer, and authorized administrators can view these photos. Private image URLs are never exposed in public pages, page source, analytics, notifications, or search results.
Food Photos: Stored in public file storage for display within the portal. These photos are accessible via their URL while you are logged in. If you have concerns about food photo privacy, you may choose not to upload food photos and use text-only food logging instead.
3. How We Use Your Media
Your media is used solely for:
- Tracking your fitness progress and providing coaching feedback
- Displaying within your private portal for your reference
- Review by your assigned trainer for coaching purposes
We do not use your media for any other purpose without your explicit consent.
4. Marketing Consent — Default OFF
Marketing consent for using your progress photos, testimonials, or before/after images in marketing materials, social media, or the She Haven Fitness website is set to OFF by default. This means:
- No progress photo will ever be used for marketing without your explicit permission
- Consent must be granted on a per-photo basis — each photo requires its own consent flag
- Account-level marketing consent must also be enabled before any photo can be used
- Both per-photo and account-level consent are required before any marketing use
5. Per-Photo Consent
When uploading a progress photo, you will see a consent toggle for each photo. You can:
- Grant marketing consent for a specific photo
- Revoke consent for a photo at any time, which immediately removes it from marketing use
- Upload photos without granting any marketing consent
Trainers and administrators can view which photos have marketing consent through the audit log, which records all consent changes.
6. Revoking Consent
You can revoke marketing consent at any time:
- Per-photo: Toggle off the consent flag on any individual progress photo
- Account-level: Disable marketing consent in your account settings, which revokes all photo marketing consent
- By request: Contact hello@shehavenfitness.com to revoke all media consent
When consent is revoked, the photo will no longer be used in any new marketing materials. We will make reasonable efforts to remove it from existing materials.
7. Third-Party Sharing
Your media is never shared with, sold to, or licensed to third parties for marketing or advertising purposes without your explicit per-photo consent. Your assigned trainer may view your media for coaching purposes only.
8. Data Retention
Your media is retained for as long as your account is active. If you request account deletion, your progress photos in private storage will be permanently deleted. Food photos in public storage will also be removed. See our Privacy Policy for data retention details.
9. Audit Trail
All access to your progress photos is logged in our audit system. The audit log records:
- Who viewed your progress photos (trainer or admin)
- When the access occurred
- What action was taken (viewed, downloaded, consent changed)
Administrators can review the audit log to verify that photo access is appropriate and authorized.
10. Changes to This Policy
We may update this Media Consent Policy from time to time. Any changes that expand how your media may be used will require your renewed consent.
11. Contact Us
If you have questions about media consent or wish to revoke consent, please contact hello@shehavenfitness.com or use the Data Privacy section in your portal.
